Planning, not booking

The Holiday Desk currently provides independent travel planning and research services. We do not currently sell or book travel on your behalf. You make and pay for your travel bookings directly with the relevant travel providers.

1About The Holiday Desk

The Holiday Desk is an independent travel planning and research service. We provide personalised travel research, recommendations and itinerary planning based on the information and preferences provided by you.

The Holiday Desk is not currently a travel agent or travel booking service. Unless expressly stated otherwise in writing, we do not sell, book or take payment for flights, accommodation, transfers, activities, excursions, restaurants, travel insurance or other travel services on your behalf.

Where we recommend a third-party travel provider, you will make the booking directly with that provider. Your contract for the travel service will therefore be directly between you and the relevant travel provider.

Depending on the package purchased, our services may include:

  • Destination research
  • Flight research and recommendations
  • Accommodation research and recommendations
  • Transfer recommendations
  • Activity and experience recommendations
  • Restaurant recommendations
  • Area and neighbourhood recommendations
  • Travel inspiration
  • Personalised itineraries
  • Day-by-day travel plans
  • General travel information and practical recommendations

The exact services included will depend on the package selected at the time of purchase. We will explain what is included in your chosen package before you purchase.

3What We Do Not Provide

Unless specifically agreed in writing, The Holiday Desk does not:

  • Book flights on your behalf
  • Book accommodation on your behalf

  • Provide travel insurance
  • Provide visas or immigration services
  • Guarantee entry into any destination

Any booking made following our recommendations is your responsibility and is subject to the terms and conditions of the relevant travel provider.

4Booking Our Planning Service

You can enquire about our services through our website, email or other communication channels we make available.

Before purchasing, you will be provided with the applicable price and a description of what is included in your chosen planning package.

Your planning service begins once:

  1. 1.You have selected your package;
  2. 2.You have provided the information reasonably required to complete the service; and
  3. 3.Payment has been successfully received.

We reserve the right to decline an enquiry where we reasonably believe we are unable to provide the requested service.

5Prices and Payment

All prices for The Holiday Desk's planning services will be displayed in GBP (£) unless otherwise stated. The price applicable to your service will be confirmed before payment.

Payment must be made using the payment method made available by The Holiday Desk.

We will not charge you for travel arrangements made by third-party providers. Any costs associated with booking your flights, accommodation, transfers, activities, insurance or other travel arrangements are payable directly to the relevant provider.

6Your Responsibilities

To allow us to provide an accurate and personalised service, you are responsible for providing accurate information, including where relevant:

  • Travel dates
  • Number of travellers
  • Departure airport
  • Destination preferences
  • Budget
  • Accommodation preferences
  • Dietary requirements
  • Accessibility requirements
  • Passport or nationality information where relevant to travel advice
  • Any other requirements communicated to us

You are responsible for checking that the information you provide is accurate. If your requirements change after planning has begun, additional work may be chargeable where the change is substantial. We will discuss any additional charges with you before carrying out additional work.

7Travel Recommendations

We aim to provide recommendations that are relevant to your requirements at the time the research is carried out. However, travel prices, availability, schedules, opening hours, entry requirements and other travel information can change at any time.

We therefore do not guarantee that any recommendation will remain available at the price or on the terms originally identified. You should check the final price, availability, booking conditions and cancellation policy directly with the relevant travel provider before making a booking.

8Third-Party Travel Providers

The Holiday Desk may recommend airlines, hotels, tour operators, restaurants, activity providers, transfer companies and other third parties. We do not control these businesses and are not responsible for:

  • Their pricing
  • Availability
  • Cancellations
  • Delays
  • Changes to schedules
  • Overbooking
  • Service quality
  • Changes to their terms
  • Refund policies
  • Closures
  • Strikes
  • Disruptions
  • Losses arising from your contract with them

Any dispute relating to a travel booking should be raised directly with the relevant travel provider. Nothing in these Terms & Conditions removes or limits any legal rights you have against a third-party provider.

9Itineraries and Personalised Travel Plans

Your personalised itinerary is prepared based on the information and preferences you provide to us. Our itineraries are recommendations and are not a guarantee that you will be able to complete every activity included.

You are responsible for deciding whether recommendations are suitable for you and your travelling party. You should independently check opening times, booking requirements, local restrictions, travel requirements and other relevant information before travelling.

10Travel Documents and Entry Requirements

You are responsible for ensuring that you and everyone travelling with you has the necessary:

  • Passport
  • Visa
  • Travel authorisation
  • Health documentation where applicable
  • Insurance
  • Other required travel documentation

Where appropriate, we may point you towards official sources for further information. However, travel requirements can change and you remain responsible for checking the current requirements applicable to your circumstances before travelling.

11Changes to Your Planning Request

Once planning has commenced, reasonable minor amendments may be included where they fall within the scope of your chosen package.

If you request significant changes to your destination, dates, number of travellers, itinerary or requirements, this may require additional research and work. Where an additional charge applies, we will tell you the cost and obtain your agreement before carrying out the additional work.

12Cancellation and Refunds

If you purchase our services online or otherwise at a distance, you may have statutory cancellation rights under applicable consumer law. Where a statutory cancellation period applies, we will provide you with the information required by law before or at the time you enter into the contract.

If you ask us to begin providing the service before any applicable cancellation period has expired, we may begin work following your express request. Where permitted by law, if you subsequently cancel after work has begun, you may be required to pay a proportionate amount for the service already supplied.

Where the service has been fully performed following your express request and where the applicable legal requirements have been met, your cancellation right may end once the service has been fully completed. Nothing in these Terms & Conditions affects your statutory consumer rights.

If you wish to cancel, please contact us at: info@theholidaydesk.co.uk

13Our Right to Cancel

We may cancel a planning service where:

  • We are unable to provide the service;
  • You have provided materially inaccurate or incomplete information;
  • You fail to provide information reasonably required to complete the service; or
  • Circumstances outside our reasonable control prevent us from providing the service.

If we cancel your service before it has been provided, we will provide any refund we are legally required to provide. Nothing in this section removes or limits your statutory rights.

14Our Responsibility to You

We will provide our planning services with reasonable care and skill. We are responsible for the quality of the planning service we provide.

However, we are not responsible for problems caused by third-party travel providers or circumstances outside our reasonable control. Nothing in these Terms & Conditions excludes or limits liability where doing so would be unlawful.

  • Government restrictions
  • Internet or technology failures
  • Widespread transport disruption
  • Industrial action
  • War or civil unrest
  • Significant illness
  • Other circumstances beyond our reasonable control

Where reasonably possible, we will communicate with you and take reasonable steps to minimise the impact.
